How to Create a WhatsApp AI Chatbot: Step-by-Step Guide
We will build a complex system, which connects the WhatsApp Business API, your company's knowledge base, and HubSpot CRM. For such purpose we're using the N8N automation platform.
Simply saying: we will give the AI chatbot its own knowledge base specific to your business – so the bot is not just an auto-responder, but a qualified employee.
Note: N8N was chosen for its visual interface and fine-tuning capabilities, which favorably distinguish it from simpler alternatives.
Stage 1 & 2: The Foundation of Intelligence: Training Your AI Bot
For the bot to be a true expert, it needs to be “fine-tuned.” We will create a centralized knowledge base (a vector store) for it using two data sources. Remember the principle of “Garbage in, garbage out” – the quality of the bot's responses directly depends on the quality of the information provided to it.

- Uploading Corporate Documents (via Google Drive):
In N8N, we set up a process that allows you to upload key documents from your cloud storage. These aren't just files; they are the concentrated knowledge of your business.- What to upload? Technical specifications, FAQs, price lists, customer stories, internal sales scripts, etc.
- How it works: The platform, using any suitable AI model, analyzes the texts, breaks them down into logical fragments (embeddings), and loads them into a vector database. This database allows the bot to perform semantic searches – it finds information based on the meaning of the query, not just keywords.
- Analyzing the Website (using Firecrawl):
The second source of knowledge is your official website. We use the Firecrawl service to automatically scan and extract all textual information.- Setup: You need to get an API key from the Firecrawl website, paste it into N8N, specify your site's URL, and set the scanning depth. Depth is an important parameter. A depth of 1 will only scan the homepage. A depth of 2 will scan the homepage and all pages it links to. For multipage websites, a depth of 3 or more may be necessary.
- Result: All textual information from the site is also converted into embeddings and added to our chatbot's “brain.”
Note: Working with the OpenAI and Firecrawl APIs incurs some costs. This is not a completely free tool, but the cost of processing requests will still be lower than the cost of an hour of a sales manager's time. You will need an account at platform.openai.com to get started.
Stage 3: Interaction Architecture: From the First Message to a Booked Calendar Meeting
This is the heart of our system, where we configure the bot's behavior logic and its integrations with other services.
- WhatsApp Trigger: The workflow in N8N starts when a new message arrives at your business number connected via the WhatsApp Business API. You will need to authorize your Meta Business account in N8N.
- Tip: If an authorization error occurs, it's likely that your temporary access token from Meta has expired. Simply generate a new one in your Meta Business Suite and update it in N8N.

- The AI Agent and the Art of the System Prompt: The central element of the bot is the AI Agent node, powered by an OpenAI language model (we use GPT-4o as an example for its excellent combination of speed and intelligence, but you could, of course, use a newer fifth version as well). The agent's behavior is defined by a system prompt – this is its job description.
To create a quality prompt, don't be afraid to be detailed. Address ChatGPT with a clear task:
“You are an experienced B2B sales expert. Your task is to create a detailed system prompt for an AI chatbot in WhatsApp.
Company: [Brief description of your company and its services].
Target Audience: [Description of your potential client].
Bot's Tasks:- Greet the user and determine their initial interest.
- Qualify the lead [ask 2-3 key questions: about company size, budget, timelines – so forth].
- If the client does not meet the criteria, politely close the conversation. Double check information, if necessary.
- If the client is qualified, collect their name and corporate email.
- Offer to book a 30-minute consultation and provide the link.
Tone of Communication: Professional, friendly, expert.”
- You then paste the resulting text into the AI Agent settings in N8N. Don't be afraid to experiment and refine the prompts after the first few tests.
- Additionally: This is an iterative process, and the first prompts often miss the mark – it's natural. However, after a series of improvements, you can even start shortening the instructions rather than expanding them. An excess of tasks can sometimes confuse the AI.
- HubSpot Integration – Closing the Sales Loop: This is the stage that transforms the conversation into real business value.
- Contact Creation: When the bot receives an email, it automatically creates (or updates) a contact in your HubSpot CRM.
- Meeting Booking: The bot sends a link to your booking page in HubSpot. The client chooses a convenient time slot.
- Automation upon Automation: As soon as the meeting is booked, HubSpot automatically creates an event in your connected Google or Outlook calendar. It then adds a record of the meeting to the contact's card in the CRM. The entire process, from the first “hello” to an event in the calendar, happens without any human intervention.
How It Works in Practice: Analysis of a Real Dialogue
To demonstrate the system in action, I conducted a test dialogue. Let's review it with commentary.
Me: Hello!
Bot: Greetings! How can I help you? Are you interested in our educational programs or our services?
Commentary: A standard but effective conversation opener that immediately segments the inquiry.
Me: Tell me more about the educational programs.
Bot: Plectron Academy offers exclusive education in the field of AI, focusing on business process automation… Our programs include practical experience with real case studies. Are you interested in training for personal use or for your entire company?
Commentary: The bot uses information from its knowledge base (website and documents) and moves on to the first key qualifying question, weeding out B2C clients.
Me: For my company. I want to automate recruiting and customer support.
Bot: Excellent! To better assist you, could you please clarify your goals... Do you have a timeframe for implementing these solutions?
Commentary: Continuing the qualification. The question about timelines helps determine the urgency and seriousness of the client's intentions.
Me: I want to automate these processes by the end of the summer and train my teams to do it.
Bot: Thank you for the details. Would you like me to book a call for you with one of our specialists?
Commentary: The lead is recognized as qualified. The bot proceeds to the next step – booking a meeting.

Me: Yes, please.
Bot: Great! To confirm the booking and send you some useful materials, please share your email address.
Commentary: Collecting contact details necessary for creating a contact in the CRM.
Me: [I send my email]
Bot: Thank you! You are qualified for a conversation with our specialist. You can choose a convenient time here: [link to HubSpot calendar].
Commentary: The final step. The lead is passed to the next stage of the sales funnel through automated booking.
A few minutes later, a new meeting appeared in my calendar, and a new contact with the entire conversation history appeared in HubSpot. Time efficiency – 100%.
